ImaCash user manual

ImaCash configuration

The Configuration section brings together the settings that allow you to adapt ImaCash to the establishment, the POS/POS, the cash machine and the active modules.

Technical administration

Adjust ImaCash only when you understand the impact

This guide is aimed primarily at administrators, store managers and technical staff. The majority of cashier users do not need to modify these sections during daily operations.

An incorrect change can cause sales not to arrive from the POS/POS, the machine not to connect, or certain users to lose access to functions.

Access Configuration or Settings in the top bar of ImaCash.
Before modifying

Check the context before changing a setting

If you are unsure, do not modify the settings without technical support.

  • That you have administrator permissions.
  • That you know what parameter you are going to modify.
  • That the cash machine is correctly identified.
  • That the POS/POS data is correct.
  • That there are no pending operations.
  • That the establishment authorizes the change.
Areas

What can you configure

Depending on your installation, ImaCash may include settings related to these areas. Not all installations show the same options.

  • General information of the establishment.
  • Users and permissions.
  • Operation filters.
  • Cash machine or device.
  • Connection with POS/POS.
  • Local and server databases.
  • Communication ports.
  • Dataphone or card payments.
  • Printers.
  • Shifts.
  • License and maintenance.
  • Language.
  • Advanced options.

Settings screen > General.
General

General settings

Basic operating data may appear in the general settings, such as store, counter, operator, language, payment behavior or preferences visible to the user.

Some general changes may require restarting ImaCash to apply correctly.

Users

Users

The users section allows you to create, edit or deactivate users, assign permissions and control who can perform sensitive actions.

From here you can manage permissions such as opening or closing a shift, perform manual transactions, consult reports, modify settings, manage emptying or resolve incidents.

This part is explained in more detail in the Users and permissions guide.

Synchronization

Filters

Filters allow you to define which operations are displayed or synchronized in ImaCash.

They can be applied by criteria such as operator, store or counter, depending on the available configuration.

These filters affect synchronization: if a transaction has already been synchronized, it may disappear from the screen when you change the filter.

Place capture here
Filters screen in ImaCash.
Device

Cash machine or device

The machine configuration defines how ImaCash communicates with the cash device.

  • Machine type.
  • COM port.
  • Device connection data.
  • Connection status.
  • Reset options.
  • Denominations available.
  • Cash levels or limits.
  • Types of emptying.
  • Refill or dispense options.

If the COM port or connection data is incorrect, ImaCash may not open the device or may display communication errors.

Place capture here
Device Data or Machine Configuration Screen.
Inventory

Levels and denominations

Some installations allow you to configure cash levels by denomination.

These levels help monitor when the machine is low on cash, when it needs refilling, or when there may be problems returning change.

If ImaCash indicates that there is no exchange combination available, it may be due to lack of cash, insufficient denominations, or outdated inventory.

POS/POS

Connection with POS/TPV

Integration with the POS/POS allows sales to automatically reach ImaCash.

Depending on the installed system, the configuration may include server data, route, connector license, service, instance, user, password or other POS/POS parameters.

If this setting is incorrect, sales may not appear, remain pending, or may not sync correctly.

Integration

POS Resources

Review the integration data only if you know the installation or have technical support.

A change to routes, credentials, service, or instance may prevent sales from reaching ImaCash.

Place capture here
POS resource configuration screen or POS/POS integration.
Data

Databases

ImaCash can work with a local database and connection to a server, depending on the installation.

Options may appear in configuration to check connection, synchronize transactions or clean logs. These options should be used with care, especially those related to database cleanup.

Do not delete records or clean databases if you do not know exactly what operation you are performing.

Server

Connections and server

In some installations, data such as server IP and server port are configured.

ImaCash can validate if the connection is correct. If the data changes, it may be necessary to restart the application to properly sync transactions.

Common errors in this part include server not found, identification error or failure to connect to local or server database.

Card payments

Card and dataphone

If the establishment works with payments by card or integrated dataphone, a Cards, Card or Dataphone section may appear.

  • Accept cards.
  • Dataphone IP.
  • Dataphone port.
  • Card payment behavior.
  • Closing of the collection when the amount is completed.

If card integration is not used, these options may not appear or be active.

Place capture here
Card or Dataphone configuration screen, if applicable.
Impression

Printers

ImaCash can include printer configuration, such as a bar printer, kitchen printer or image for printing the receipt.

This configuration depends on the environment of the establishment and the use made of tickets, receipts or vouchers.

License

License and maintenance

ImaCash validates the license and maintenance status to allow certain features.

From configuration, options such as License, Validate license, Change license or Maintenance may appear.

If the license is invalid or the computer cannot connect to the corresponding server, some functions may be limited.

Save

Save changes

After modifying the settings, use the Save button.

ImaCash may display a warning indicating that the new settings have been saved successfully, but that some functions will not be available until you restart the program.

If you see an unsaved changes notice, review whether you want to save or exit without keeping the changes.

Place capture here
Save button or notice of configuration saved/reboot required.
Advanced

Advanced options

The advanced options are intended for technical personnel or administrators with knowledge of the installation.

They may include communication parameters, POS resources, device behavior, service restart, database cleanup, or connector-specific configurations.

Do not modify advanced options during normal checkout operations.

Permissions

Necessary permissions

Configuration usually requires administrator permissions. If ImaCash indicates that administrator permissions are required, it may be necessary to run the program as an administrator or log in with an authorized user.

  • Lack of permits.
  • Module not active.
  • Invalid license.
  • Establishment configuration.
  • Machine type not supported.
  • Different POS/POS integration.
Facility

What can vary

Configuration can change a lot between establishments. It may vary depending on:

  • Cash machine installed.
  • Integrated POS/POS.
  • Database used.
  • Dataphone or card module.
  • Configured printers.
  • Use of shifts.
  • Users and permissions.
  • License and maintenance.
  • Active modules.
  • Internal procedure of the establishment.

This guide describes the usual areas, but some screens may have different names or fields.

Frequent cases

Common errors or situations

Before making more changes, review what was changed and if necessary restart ImaCash.

  • Cannot save settings.
  • Required to run ImaCash as administrator.
  • Error loading configurations.
  • Error connecting to local database.
  • Error connecting to the server database.
  • Server not found.
  • Identification error on the server.
  • Incorrect COM port.
  • The device cannot be opened.
  • The dataphone does not respond.
  • The license is not valid.
  • Reboot required to apply changes.
  • Sales do not appear after changing filters or connection.
Before saving

Recommendation before saving settings

If the change affects collections, machine, POS/POS or database, do it outside of high activity times.

  • That the data entered is correct.
  • That the COM port corresponds to the real machine.
  • That the IP and port of the server are correct.
  • That the POS/POS configuration matches the installation.
  • That filters will not hide necessary operations.
  • That the license is validated.
  • What do you understand if the change requires a restart?
