Users and permissions in ImaCash

The Users and permissions section allows you to control who can access ImaCash and what actions each person can perform within the system.

Access control

Defines who can do each operation

This setting is important because some operations directly affect cash, reporting, setup, or cash closing.

Not all users should have access to the same features. A clear configuration avoids errors and facilitates subsequent review of operations.

Identity

What is a user in ImaCash

A user is the person who works with ImaCash or who is authorized to access certain functions.

Each user can be associated with a name, password, profile, permissions and, depending on the installation, an NFC identifier or other access method.

The active user helps to leave a record of who performed an operation, opened a section or confirmed a sensitive action.

Authorization

What are permissions

Permissions define what each user can do within ImaCash.

For example, a user may have permission to collect sales, but not to modify settings, view reports, make credits, clear shifts, or create manual transactions.

Permissions help protect daily operations and reduce errors in sensitive actions.

Why permissions are important

ImaCash manages operations related to cash, shifts, incidents and cash data. A correct configuration allows:

  • Avoid unauthorized access.
  • Control who can modify settings.
  • Record who performs each operation.
  • Limit sensitive actions.
  • Facilitate the review of reports.
  • Reduce errors during daily operations.

Access

User access and permissions

User management is usually found in Settings or an administration section.

Depending on the installation, it may appear as Users, Profiles, Permissions, or a similar option.

If you don't see this section, it may be because your user does not have administrative permissions.

Registration and editing

Create or edit a user

From the users section, an administrator can create new users or modify existing users.

  • User name.
  • Password.
  • Profile or role.
  • Active/inactive status.
  • Assigned permissions.
  • NFC identifier, if applicable.

After creating or editing a user, save your changes before exiting.

Profiles

User profiles

A profile groups permissions for easy administration.

For example, the establishment may have profiles for operators, managers, administrators or technicians. Each profile allows access to different functions depending on the responsibility of each person.

The name and number of profiles may vary depending on the installation.

Frequent permissions

Common permissions

Some common permissions on ImaCash may be related to:

  • Collections and sales.
  • Manual transactions.
  • Changes.
  • Postponed and resynchronization.
  • Credits or returns.
  • Opening and closing of shifts.
  • Empty and filled.
  • Discrepancies and traffic jams.
  • Information.
  • Configuration.
  • User administration.

Not all facilities will have exactly the same permits.

Password

Login with password

Depending on the configuration, ImaCash may require a password to access or perform certain actions.

Enter the password corresponding to the authorized user. Do not share passwords between users, as operations may be registered in someone else's name.

NFC

Login with NFC

Some installations allow identification via NFC.

In this case, the user can identify themselves by bringing a card, bracelet or other compatible device closer to the configured reader.

Login with NFC can speed up the operation, but it must be correctly associated with the corresponding user.

Active user

Check who is identified

The active user is the user that ImaCash currently recognizes.

It can appear at the bottom of the main screen or in visible areas of the interface. Before performing sensitive operations, check that the active user is correct.

If the active user does not apply, log out or log in with the appropriate user according to the establishment's procedure.

Sensitive actions

Operations that must be limited

Some actions must be limited to authorized users because they affect cash or settings.

  • Modify settings.
  • Create or edit users.
  • Make payments.
  • Empty cash.
  • Open or close shifts.
  • Record manual transactions.
  • Resolve discrepancies.
  • Export reports.
  • Change machine configuration.
  • Modify integration with POS/POS.

If an option does not appear or is blocked, it may be due to permissions.

Save

Save changes

After modifying users, profiles or permissions, use the save option.

If you try to exit without saving, ImaCash may display a notice of pending changes. Review the message before closing the screen so as not to lose the settings you made.

Facility

What can vary

User and permission management may vary depending on:

  • The installed version.
  • The integrated POS/TPV.
  • The cash machine.
  • The establishment configuration.
  • The active modules.
  • The license available.
  • The use of password, NFC or other identification methods.

In some installations, users are managed directly in ImaCash. In others, they may be linked to the POS/POS or another external system.

Frequent cases

Common errors or situations

Before creating a new user, check if it already exists or if it is inactive.

  • The users section does not appear.
  • The user does not have permission to enter settings.
  • The password is not valid.
  • The user is inactive.
  • The active user is not the correct one.
  • Changes are not saved.
  • The NFC reader does not recognize the card.
  • A permit is not applied as expected.
  • An option still does not appear after giving permissions.
  • The user cannot perform manual transactions, dumps or reports.
Administration

Recommendation for administrators

A clear user configuration avoids errors and facilitates subsequent review of operations.

  • Create a user for each person who uses ImaCash.
  • Avoid sharing passwords.
  • Assign only necessary permissions.
  • Use profiles to simplify management.
  • Periodically review inactive users.
  • Check that those responsible have sufficient permissions.
  • Limits configuration, dumps, credits and discrepancies to authorized users.
  • Save changes before exiting.
