Empty and filled in ImaCash

The Emptying and Refilling functions allow you to record cash outflows and inflows into the machine. They are used to keep the inventory of bills and coins under control, collect collections or prepare the machine to continue operating.

Record entries and exits without losing inventory control

These operations directly affect available cash, so they are usually limited to users with specific permissions.

Before moving cash, check if there are pending transactions, open discrepancies or internal instructions from the establishment.

What is an emptying

A dump is an operation in which cash is removed from the machine.

It can be used to withdraw collection, reduce accumulated cash, empty a shift or perform maintenance and internal control tasks.

Depending on the installation, emptying can be done by amount, by denomination, by box, by stacker or by an option guided by ImaCash.

What is a filling

A refill is an operation in which cash is introduced into the machine.

It is used to prepare the machine before daily operations, replenish denominations necessary for change or maintain minimum cash levels.

Refilling can be done from cassette, backoffice or through specific options of the installed machine.

When to empty

Perform an emptying when you need to withdraw cash from the machine.

  • At the end of a shift.
  • When withdrawing the collection.
  • When the machine has reached a high cash level.
  • Before a maintenance task.
  • When a person in charge requests it.
  • To balance cash or prepare closing.

When to refill

Refill when you need to insert cash into the machine.

  • Before opening box.
  • When coins or bills are missing to return change.
  • After emptying.
  • When preparing the machine for a day with high activity.
  • When ImaCash or the machine indicates low inventory.

The cash entered must match what is recorded in ImaCash.

Access to emptying and filling

Empty and refill options are usually found within device administration or in sections related to cash movements.

Depending on the configuration, they can also be linked to the closing or emptying of the shift.

If you don't see these options, it may be due to permissions, settings, licensing, or type of installed machine.

Shifts

Shift emptying

Shift emptying allows you to withdraw the cash associated with the collection of a shift.

In current versions, closing a shift and emptying a shift can be separate actions. This means that a shift can be closed without immediately removing the cash, or emptied later according to the establishment's procedure.

Depending on the installation, ImaCash may allow you to empty a specific quantity or select specific denominations.

Before confirming, check that the amount or denominations are correct. Once the movement has started, wait for the machine to finish the operation.

Filling from cassette or BackOffice

Some machines allow refilling from a cassette or through an BackOffice option.

In these cases, ImaCash guides the process to record the cash entered. Follow the order indicated on the screen and do not withdraw or insert cash outside the flow shown.

Machine Inventory

The inventory shows the cash that the machine has on record.

It may include bills, coins, available denominations, accumulated amounts, and other data depending on the device.

Check inventory before emptying, refilling or changing if you need to confirm cash availability.

When the movement ends, check that the physical cash matches what was recorded by ImaCash.

If there are differences, incidents or jams, do not repeat the operation without reviewing the status of the device and the discrepancies.

After confirming, wait for ImaCash to indicate that the operation is complete.

Permissions

Necessary permissions

Emptying and refilling are usually restricted because they directly affect the machine's cash.

  • Configuration restriction.
  • Machine type not supported.

Contact a person in charge if you need to make the move and do not have access.
