SMTP and communications in ImaCash

The SMTP and communications configuration allows you to prepare the sending of emails from ImaCash or from the associated services, for example for reports, warnings or automatic notifications.

This section is aimed at administrators or technical staff. Most cash users do not need to modify this data during daily operations.

An SMTP error is not always caused by ImaCash. Many times it depends on the email provider, the network or the account security policy.

Concept

What is SMTP

SMTP is the system that allows you to send emails from an application.

In ImaCash it can be used to send reports, notices or automatic communications, depending on the establishment's configuration and the active modules.

For sending to work, the SMTP server, user, password, port, and security type must be correctly configured.

When to set SMTP

Configure SMTP when the property needs ImaCash to send emails automatically.

  • Sending reports.
  • Administrative notices.
  • Incident communications.
  • Notifications related to operations or closure.
  • Shipping tests from configuration.

If the establishment does not use mail communications, this section may not be active or necessary.

Data

Necessary data

Before setting SMTP, prepare this data. They depend on the email provider used by the establishment.

  • Sender email.
  • Email user.
  • Password or application password.
  • Server SMTP.
  • Port SMTP.
  • Security type: SSL, TLS or STARTTLS, depending on the provider.
  • Destination email for testing.
  • Sender name, if applicable.

Server SMTP

The server SMTP is the address of the service that will send the emails.

Port and security

The port defines how ImaCash communicates with the mail server.

In most current configurations it is recommended to use 587 with TLS or STARTTLS, unless otherwise indicated by the vendor.

Authentication

Application password

Some providers do not allow you to use the normal account password directly.

In Gmail, Outlook, or Microsoft 365, you may need to create an app password or enable a specific authentication method.

If your account has two-step verification, review your provider settings before entering your password in ImaCash.

Gmail

Settings with Gmail

  • Server: smtp.gmail.com.
  • Port: 587 or 465.
  • Security: TLS/STARTTLS or SSL.
  • User: full Gmail email.
  • Password: Application password, if required by the account.

Don't use your personal password if your account requires an application password.

Outlook/Microsoft 365

Setup with Outlook or Microsoft 365

  • Server: smtp.office365.com.
  • Port: 587.
  • Security: STARTTLS.
  • User: complete email.
  • Password: Account password or application password, depending on administrator policy.

In corporate accounts, the administrator can block authenticated SMTP sending. If the test fails, review that policy first.

Validation

Proof of shipping

After entering the data, perform a test send.

The test confirms that ImaCash can connect to the SMTP server and send mail correctly.

Before accepting the configuration as valid, check that the email reached the recipient and that it was not marked as spam.

Daily reports and automatic communications

If the establishment has configured the sending of daily reports, ImaCash can send closing or activity information to the defined email.

Depending on the installation, the report may depend on ImaCloud, license, active maintenance, closing time, and associated email address.

If the device is not open at closing time, shipping can occur at the next opening, if the configuration allows it.

Communications settings may vary depending on:

  • Mail provider.
  • Using ImaCloud.

  • Contracted modules.
  • Customer security policy.
  • Firewall or establishment network.
  • Type of report or notice configured.

On some installations, mail is configured directly in ImaCash. In others, part of the shipment may depend on ImaCloud or external services.

Before changing several parameters at once, modify one, save and try again.

  • Incorrect username or password.
  • The provider rejects authentication.
  • Port SMTP is blocked.
  • The SMTP server is not responding.
  • Missing application password.
  • The account does not allow authenticated SMTP.
  • The mail reaches spam.
  • There is no internet connection.
  • The firewall blocks the exit.
  • The license does not have a valid email.
  • The daily report cannot be sent.
  • A report submission is already in progress.

After saving, perform a test send and confirm receipt of the email.

  • That the sender email is correct.
  • That the user matches the authorized account.
  • That the password is valid.
  • That the port and security match the provider.
  • That test email exists.
  • That the account allows sending SMTP.
  • That the establishment's network allows the connection.
