Changes in ImaCash

The Exchanges function allows you to carry out cash exchange operations from ImaCash. It is used when the establishment needs to deliver or receive cash in a specific combination of bills or coins, without necessarily having an associated sale.

Deliver or receive cash with denomination control

This option helps manage amount changes, denomination changes and controlled cash movements depending on the configuration of the installed machine.

Before making the change, check that the operation is permitted by the establishment's internal rules.

Concept

What is a change

An exchange is an operation in which an amount of cash is transformed into another combination of bills or coins.

For example, a user may need to exchange a bill for coins, deliver a specific combination, or adjust available cash for daily operations.

When to use Changes

Use the Exchanges option when you need to make an exchange transaction without recording a normal sale.

  • Exchange a bill for coins.
  • Obtain specific denominations.
  • Provide cash for a cash register or service point.
  • Reorganize available cash.
  • Respond to a specific need authorized by the establishment.

Available exchange rates

Depending on the installation, ImaCash may display different change options, such as change by amount, change by denomination, or logical change.

Change by amount

Change by amount

Allows you to enter a total amount so that ImaCash can calculate or deliver a possible combination based on the cash available in the machine.

Use it when the important thing is the total amount and not a specific denomination.

Change by denomination

Change by denomination

Allows you to work with specific bills or coins when you need a specific combination.

The machine will only be able to deliver denominations available and compatible with its configuration.

Logical change

Logical change

Performs an operation based on the change logic configured by ImaCash and the cash machine.

In some installations, the system calculates the best possible combination based on inventory and defined rules.

Shift up or down

Shift up or down

Guides the change towards denominations of greater or lesser value, depending on the operational need.

If you are not sure which option to choose, use the one indicated by the establishment manager.

Inventory

Cash availability

Before confirming a change, ImaCash can validate if the machine has enough cash and if a possible combination exists to deliver what is requested.

If there is insufficient cash or no combination available, the transaction may not be completed.

In that case, check the machine inventory or consult with a person in charge before repeating the operation.

Confirmation

Confirm the change

When you have selected the exchange rate and entered the necessary amount or denominations, review the operation before confirming it.

Once confirmed, the machine can accept or dispense cash based on the configured flow.

After making a change

Check that the cash delivered or received matches what is indicated by ImaCash.

If the operation does not complete successfully, do not repeat the change without reviewing the machine status and recent transactions.

Permissions

Necessary permissions

The Changes feature may be limited to certain users.

  • Lack of permits.
  • Profile restriction.
  • Machine not available.
  • Insufficient inventory.
  • Module not active.
  • Establishment configuration.

Consult a manager if you need to make a change and the option is not available.

Facility

What can vary

The Changes screen and options may vary depending on:

  • The installed cash machine.
  • The configured denominations.
  • The available inventory.
  • The user's permissions.
  • The license or active modules.
  • The establishment configuration.
  • The defined change rules.

Therefore, some options may appear under a different name, be disabled, or not be displayed in certain installations.

Frequent cases

Common errors or situations

During an exchange operation, situations like these may appear:

  • The Changes option does not appear.
  • The user does not have permission.
  • The machine is not available.
  • There is not enough cash.
  • There is no possible change combination.
  • The requested name is not available.
  • The operation is pending.
  • The cash delivered does not match what was expected.
  • The machine indicates an incident during the change.

Before repeating the operation, check the status of the machine and confirm if the change was registered.

Before confirming

Recommendation before making a change

If the change does not complete or the machine displays an issue, check the status of the operation before trying again.

  • That the operation is authorized.
  • That the amount or denominations are correct.
  • That cash machine is available.
  • That there is enough cash.
  • That the active user is the correct one.
  • That there are no open incidents.
  • That you understand what type of change you are going to make.
