Set up Booking Experts
Technical beta for controlled testing. Validate the live API contract and financial workflow with a demo organisation before commercial use.
One active ImaCash workstation per administration and the same currency in both systems. The administrator prepares read and payment-recording permissions and, where needed, register-creation permission.
Setup steps
- Arrange a demo organisation, its administration and a test invoice with the provider. The private-use organisation API Key differs from the App API Key; follow the official documentation and do not share its value.
- Open Configuration > Integration > POS and select Booking Experts. The logo does not prove a connection or physical validation.
- Use the provider-authorised HTTPS endpoint in API URL. Enter the exact administration reference in Administration identifier; this is neither a TCP port nor an SQL database.
- Enter the private API Key only in its ImaCash field. Do not put it in the URL, screenshots or messages. This profile does not configure an SQL user or OAuth2.
- Under Register, identify an authorised open register for the pilot. If left empty, the check may reuse or create an ImaCash register: agree to this effect before saving.
- Select the actual cash method from the received options. It must be available for POS; if several exist, explicitly confirm the right one. The beta does not accept cards or refunds.
- Close the changed configuration and choose to save. Check the result and explicitly confirm any proposed restart where applicable. The check may prepare the register but does not prove a payment.
- In a supervised test, check administration, register, invoice reference, positive outstanding amount, currency and actual cash. Then verify the payment in Booking Experts.
Scope and checks
Reads sent, open invoices with a positive outstanding amount in the active ImaCash currency. After cash and the local sale are confirmed, it attempts to record the payment in Booking Experts. Reading or saving does not prove full financial validation.
If the response is lost or confirmation remains pending, review the invoice, payment and actual cash with support. Do not repeat the collection, delete the pending state or change administration to unblock it.
An invoice cannot be cancelled from ImaCash. The responsible person changes or cancels it in Booking Experts and then reviews synchronisation; this neither proves a cash refund nor authorises repeating one.
Cards, refunds, negative balances, OAuth2, webhooks and App Store publication are outside this beta. No future activation or compatibility with all installations is promised.
